Hiring: Accounts Payable Specialist/Assistant to the CFO
Position Summary
Hood Theological Seminary, located in Salisbury, NC, is seeking a detail-oriented and organized Accounts Payable Specialist to join our Business Office team. The position is full-time, 40 hours per week.
The successful candidate will primarily be responsible for processing invoices, maintaining accurate financial records, and ensuring timely payments to vendors while providing excellent customer service to internal departments and external vendors. This position requires a high level of accuracy, confidentiality, and professionalism.
Essential Duties and Responsibilities
- Process vendor invoices accurately and in a timely manner.
- Verify invoices for proper approval, coding, and supporting documentation.
- Prepare and process check runs.
- Resolve invoice discrepancies.
- Maintain vendor files, including W-9 forms and payment information.
- Respond promptly to vendor inquiries regarding payment status.
- Assist with month-end and fiscal year-end closing procedures.
- Maintain organized and accurate accounts payable records in accordance with institutional policies.
- Prepare reports and documentation as requested by management or auditors.
- Assist with other accounting and business office functions as assigned.
Qualifications
- Associate degree in Accounting, Business Administration, or a related field preferred. Equivalent work experience may be considered.
- Minimum of two years of accounts payable or business office experience preferred.
- Proficiency in Microsoft Office, particularly Excel.
- Strong organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple tasks while meeting deadlines.
- High degree of accuracy and attention to detail.
- Ability to maintain confidentiality and exercise sound judgment.
Knowledge, Skills, and Abilities
- Strong mathematical and reconciliation skills.
- Ability to work independently as well as collaboratively within a team.
- Excellent customer service skills when interacting with faculty, staff, students, and vendors.
- Ability to adapt to changing priorities in a fast-paced environment.
Physical Requirements
- Prolonged periods of sitting and working at a computer.
- Occasional lifting of files or office supplies up to 10 pounds.
